Use This Page as Your Pre-Application Checklist
Before you start your DUNS number application, this page brings together everything you need in one place — the documents every business needs regardless of structure, the additional documents specific to your business type, and practical formatting tips that prevent the most common, avoidable rejection reasons.
If you already know your business structure, jump to the comparison table below to see exactly what applies to you. If you want the fuller context — why each document matters, the application process, and timelines — see our complete guide to DUNS number registration in India.
A D-U-N-S Number is always free and issued solely by Dun & Bradstreet. Scalix Tech is an independent consulting service — we are not affiliated with, endorsed by, or authorized by D&B. We never charge for the number itself. What we offer is documentation review and application support, if you'd like a second pair of eyes on your documents before you submit.

Documents Every Business Needs, Regardless of Structure
Ensure these core files are ready before beginning any application flow:
PAN Card
Tax identity of the business (or proprietor, for sole proprietorships) — serves as the primary tax identification document in India.
Business Registration Proof
Legal existence of your business — the exact document varies by structure (see table below).
Address Proof
Your registered business location — utility bill, rent agreement, or property tax receipt, matching your registration documents.
Authorized Signatory's ID
Identity of the person D&B will contact for verification — government-issued ID (Aadhaar, PAN, passport).
Contact Details
A reachable business phone number and email address, listed in your D&B profile.
Business Activity Description
An accurate description of what your business does, used for correct industry classification.
Document Checklist by Business Type
Different legal structures require specific supporting documents for complete validation:
Freelancer / Sole Proprietor
Core Document: Udyam Registration or Shop Act License
Additional Requirement: Personal PAN serves as the business PAN
View Freelancers Guide →Private Limited Company
Core Document: Certificate of Incorporation + MOA/AOA
Additional Requirement: Company PAN (separate from any director's personal PAN)
View Startups Guide →LLP
Core Document: Certificate of Incorporation with LLPIN + LLP Agreement
Additional Requirement: LLP's own PAN
View LLPs Guide →Partnership Firm
Core Document: Partnership Deed
Additional Requirement: PAN of the firm and every partner — not just the managing partner
View Partnership Guide →NGO / Trust

View Section 8 Guide →Exporters / IEC Holders
Core Document: IEC Certificate (supporting document) + standard business registration
Additional Requirement: Business registration proof still required — IEC alone doesn't establish legal existence for DUNS purposes
View Exporters Guide →Optional but Useful Documents to Have Ready
These aren't always mandatory, but having them ready can strengthen your application or speed up verification:
GST Certificate
Even when not strictly required, it's commonly used as supporting proof of business registration and operational status.
Business Website Link
Improves credibility and gives D&B an additional way to verify your business's online presence.
Bank Account Details
Sometimes requested for additional verification, particularly for larger applicants.
Financial Records
Larger companies or exporters bidding on bigger contracts may be asked to provide this to demonstrate financial legitimacy.
Document Format & Quality Guidelines
Beyond just having the right documents, how you submit them matters more than most applicants expect. A surprisingly large share of delays come down to formatting issues rather than missing paperwork:
Upload Clear, Complete Scans
Blurry, cropped, or partial document images are one of the most common and entirely avoidable rejection reasons.
Use Standard File Formats
PDF or JPG is generally accepted — check the current application portal for any specific format requirements at the time you apply.
Don't Crop Out Edges of Documents
A document with text cut off at the margins can be flagged during manual review, even if the core information is technically visible.
Standardized Photo ID Requirements
If a photo ID is requested, follow standard Indian ID-photo conventions: a clear, well-lit headshot taken in daylight, neutral expression, no heavy filters or accessories, cropped reasonably tight to the shoulders — the same general standard used for PAN or passport photos.
Label Your Uploads
Label your uploads if the portal allows it. Clear file names matching the document type help avoid confusion during manual review, especially when submitting several documents at once.
The One Rule That Matters More Than Any Single Document
Every document must show your business name and address in exactly the same way. This is, by a wide margin, the most common cause of delay or rejection across every business type — more common than any single missing document.
Abbreviation Inconsistencies
"ABC Technologies Private Limited" on your Certificate of Incorporation, but "ABC Technologies Pvt Ltd" on your application form.
Unregistered Trade Names
A trade name used on your website but not reflected on any official registration document.
Address Formatting Variances
"Flat 4B, MG Road" on one document and "4B, MG Road" on another.
Before you submit anything, it's worth doing a side-by-side check: lay your PAN, business registration document, and address proof next to each other, and confirm the name and address match character-for-character, including punctuation and spacing.
Quick Pre-Submission Checklist
Use this as your final check before applying:
PAN card of the business (or proprietor) ready and clearly scanned
Core business registration document identified and matches your structure
Address proof matches your registration document exactly
Authorized signatory identified, with valid government ID ready
Business name spelled identically across every document
Address formatted identically across every document
Contact phone number and email are currently active and reachable
Checked the D&B database to confirm you don't already have a DUNS number
All scans are clear, complete, and in an accepted file format
Frequently Asked Questions
What's the minimum document I need if I don't have GST registration?
For sole proprietors and freelancers without GST, Udyam Registration or a Shop Act License generally serves as the core business registration document, alongside your personal PAN.
Do all partners in a partnership firm need to submit documents?
Yes — unlike a sole proprietorship or single-signatory company, a partnership firm application typically requires PAN cards from every partner, not just the managing partner.
Is a business website required to apply?
No, but including one (if you have it) can strengthen your application and improve verification speed, since it gives D&B an additional way to confirm your business's legitimacy.
What happens if my documents have a name mismatch?
This is the most common cause of delay or rejection. If you catch it before submitting, correct the inconsistency at the source (update one document or use the version that matches your primary registration) rather than submitting mismatched information and hoping it gets resolved later.
Can I submit documents in any file format?
Generally PDF or JPG formats are accepted, but it's worth checking the current application portal for specific requirements, since accepted formats can be updated over time.
Do I need to provide financial records for a standard application?
Not usually for smaller or standard applications — this is more commonly requested for larger companies or exporters applying in connection with bigger international tenders or contracts.
